Ⅰ Storage of Personal Information

  1. OVA will not collect any personal information (defined in the Act on the Protection of Personal Information, hereinafter the “Act”) unless we disclose and inform the purpose of use. 
  2. Any special care-required personal information (defined in Article 2.3 of the Act) are not captured or stored by OVA without obtaining in advance your consent.

Ⅱ Purpose of Use of Persional Information

We will only disclose your personal information when obliged to disclose personal data by law or we have your consent. We may use personal information collected via this website or other electronic communications networks used by for the following purposes:

  • to provide and maintain our counselling services.
  • to conduct referral of the clients.
  • to improve the quality of our services.
  • to allow you to participate in interactive features of our services such as events, training and lectures.
  • to analyse and develop the policy recommendations or research paper related to the issues we are addressing.
  • to report our achievement annually to the supporters including the foundation, firms, organizations and individuals.
  • to conduct the recruitment process of staff.
  • to conduct personnel management.
  • to announce the details of events we will hold to supporters.
  • to deliver the annual reports, other materials and emails includes future events or interactive opportunities to supporters.

Ⅲ Prohibition of Disclosure and Provision of Personal Information to Third Parties

  1. We will not share your personal information with any third parties except in the following cases;
    • where the disclosure of information is required by law.
    • when the consent of the person is obtained.
    • when the disclosure is required in order to conduct our businesses with the specified subcontractors only in the limited purposes of use.
    • when the provision is requested to protect your life, health, safety and property under emergency situations in cases where obtaining your consent is difficult.
    • when the provision is necessary for public health or to promote the sound growth of children and youth in cases where obtaining their consents are difficult.
    • when the disclosure is required in case of the merger or business transfer etc.
    • when the purpose and necessity of disclosure is informed in advance through  our website in accordance with the Act.
  2. Notwithstanding the provisions in the preceding paragraph, if any third parties located outside of Japan requests us to provide your personal information, we shall obtain your consents in advance. 
  3. We will only share or receive your personal information with or from third parties (except Governmental agencies, Local public agencies and Independent administrative agencies) when your information needs to be provided. In this case, we will prepare necessary records in accordance with the Act. Your personal data will be properly stored during the designated period under the regulation established by the Personal Information Protection Commission.

Ⅳ Anonymously Processed Information

We will take necessary measures to appropriately handle any anonymously processed information (defined in Article 2.9 of the Act) in accordance with the laws and guidelines

Ⅴ Safety Measures

We will take necessary measures to prevent the unauthorised access, divulgence, loss, damage or alternation of collected personal information and appropriately manage the collected information. In order to enhance our safety management, OVA establishes the security management system providing staff training and periodic monitoring on our safety measures.

VI Disclosure, Revision and Suspension of Use of Personal Information

  1. If you have a request to disclose, revise your personal information or suspend the use of personal information, please contact the following email address mentioned in VIII.
  2. When we receive your requests in the preceding paragraph, we will ensure the identity verification and we will disclose, revise or suspend the use of personal information in response to your requests. However, it shall not be applied in case any requests are considered to have harmful impacts on our business.

VII Compliance and Revision of this Policy

We will comply with all applicable laws, regulations and guidelines governed by and interpreted in accordance with the laws of Japan relating to the provision of our services. We will conduct proper monitoring and performance review to strengthen the compliance. 
OVA can revise this Policy.
